Beyond spreadsheets: connect the rental lifecycle

A useful starting point for equipment and fleet businesses reviewing their systems.

Start with the handoffs

A rental business moves information between sales, operations, fleet, vendors, workshop and finance. The important question is where the context of a customer requirement gets lost as it moves between teams.

Map one job from start to finish

Follow a real enquiry through quotation, rental order, equipment allocation, delivery, service needs and billing. Record who makes each decision and which information the next person needs.

Include the exceptions

Owned equipment and vendor sub-rentals do not always follow identical paths. Changes to dates, equipment or service requirements should be considered when defining the workflow.

Decide what to connect first

Prioritise the records and handoffs that create the most repeated work. Define the required approvals and reports before expanding the scope.

Treat adoption as part of implementation

Review the system with the people doing the work. Agree how existing records will be prepared, who will own data quality and how questions will be handled after launch.
